Finance and Admin Coordinator

The National Motor Freight Traffic Association (NMFTA) is seeking a dynamic and experienced Finance and Admin Coordinator to join our team. The successful candidate will play a key role in supporting our financial and administrative functions. The position requires a minimum of 5 years of experience in QuickBooks, accounting, and Microsoft Office, with a strong emphasis on attention to detail and organizational skills. An associate degree in finance, accounting, or a related field is preferred. This is a hybrid position, with in-office presence required 2-3 days a week. Duties include, but are not limited to:

  • Post and manage accounts payable and accounts receivable transactions, including checks, wire transfers, and ACH.
  • Download and upload online credit card and ACH payment reports via Wells Fargo CyberSource.
  • Accurately record financial transactions through journal entries.
  • Prepare, post, and deposit checks to the Wells Fargo account.
  • Send email correspondence to customers regarding returned checks and ACH payments, requesting payment.
  • Update fixed assets and prepaid expenses.
  • Handle requests for W-9s and vendor request forms.
  • Assist the department with the annual audit.
  • Maintain an electronic filing system for financial data.
  • Utilize QuickBooks for meticulous financial record-keeping.
  • Responsible for the procurement and oversight of office supplies and inventory.
  • Provide administrative assistance as needed to support daily operations.
  • Perform other financial and administrative duties as assigned.

Ideal candidate should meet the following requirements:

  • Minimum of 5 years of experience in QuickBooks, accounting, and Microsoft Office.
  • Detail-oriented with excellent organizational skills.
  • Preference for an associate degree in finance, accounting, or related field.
  • Excellent computer and communication skills.

Work Environment:

This is a hybrid position, requiring in-office presence 2-3 days a week. The candidate should be adaptable to both remote and in office work settings.
